Office Assistant

We are seeking a friendly and professional Office Assistant to join our Welcome Center Main Office team at Chaminade Julienne Catholic High School. In this role, you will be a key ambassador, creating a welcoming and seamless experience for everyone who enters our school building. This is a full-time, on-site position. The working hours are Monday-Friday, 7:30 a.m. – 3:30 p.m. with a 30-minute lunch break. This position is benefit eligible with summers off (June-July)!

Your Responsibilities:

As an Office Assistant, you will be responsible for:

  • Visitor Management:
    • Welcome visitors, efficiently check them in using the electronic visitor system, and manage visitor flow and records.
    • Handle deliveries efficiently, notifying staff and ensuring smooth distribution.
    • Maintain visitor safety protocols and manage mail sorting and distribution.
  • Main School Phone Line Operator:
    • Answer and transfer incoming calls with exceptional customer service.
    • Promptly manage and respond to voicemail messages.
  • Welcome Center Office Duties:
    • Welcome walk-in guests, assess needs, and direct them appropriately.
    • Maintain Welcome Center supplies and functionality.
    • Assist with school mailings and collaborate with Office of Student Services for student and parent support.
    • Support school announcements and provide administrative assistance to the school president and principal.
    • Provide administrative assistance to the school president and principal as needed
  • Hospitality Support:
    • Set up meeting rooms for guest visits and school events.
    • Restock the faculty/staff lunchroom and workroom and assist with catering needs for meetings.
  • Communication Tools:
    • Utilize Google platform (Gmail, Google Calendar, Google Drive) for efficient communication and schedule management.
    • Maintain internal communication tools and portals.

Your Qualifications:

To excel in this role, you need:

  • A high school diploma.
  • Experience working in an office environment.
  • Work experience in a collaborative team environment.
  • Customer service experience, with a willingness to be the welcoming ‘face of CJ.’
  • Proficiency in Google platform technology skills.
  • The ability to uphold the highest standards of professionalism in maintaining confidential student information.
  • The ability to understand, appreciate, and articulate the unique characteristics of Catholic education in the Marianist and Notre Dame de Namur traditions.
  • Compliance with all requirements contained in the Archdiocese of Cincinnati’s Child Protection Decree.

Requirements
